What is Bento Systems?

Bento Systems is enterprise-class business management software, at a price that any business can afford.

So what does that really mean? Enterprise-class?

Not too long ago, we used to build custom software to solve specific problems. At least what we thought were specific problems. As it turns out, most of the problems a single business has are shared across many businesses. So we decided to stop building custom software, and start building a platform that’s designed to solve those central problems, while giving each business the tools to make the system their own.

At the highest level, Bento helps you organize your People, Projects, and Products. One of our core principles is simplicity, and having those 3 things inside a single platform, connected to each other, is where it starts for us.

There are a lot of great, specialized SAAS products out there, and with some elbow grease, anyone can create an automated workflow online. But, what happens when the form system you use to capture your website leads doesn’t let you notify the right people that a new lead just came in? What happens when your sales team and project team work in different systems? Chaos, that’s what happens.

Teams

The first thing we wanted to do was create the ability to map a company’s ‘org chart’ to the system. We solved this by organizing people in teams. Every team is just a grouping of people in the organization. Anyone can belong to multiple teams and each team can share information with other teams if they need to.

Each team has a set of tools they can use. Tools are things like full contact, inventory, and project management tools. How you setup your teams is entirely up to you. That’s the beauty of it. We give you a framework to create the structure that makes sense to you and your teams. Tools are things like full contact, inventory, and project management tools. Workflows

Workflows is a concept that allows you to translate your business processes into Bento. Workflows can be attached to most things like Contacts, Projects, Tasks, Documents and more.

An example of a simple Project workflow might look like this:

  • Discovery
    • Add the Project Managers tag to the project.
    • Add a set of tasks to the project.
  • Planning
    • Add a different set of tasks to the project.
  • Building
    • Add a different set of tasks to the project
  • Review
    • Add the Account Manager’s tag to the Project, which notifies them of the change in the Project’s state.
  • Closed
    • Remove the Project and Account Manager’s tags.
    • Mark the Project as Done and move off of the active list.

This is a pretty simple Workflow, but it should give you an idea of how to use them. We are always adding new Rules, Triggers and Actions to the system to expand the capabilities of what you can do with Workflows.

Sharing

People are organized into Teams, work is organized into Projects and Tools. The next layer is Sharing and Collaboration.

We wanted to make sharing a seamless experience for the user, so we decided to use the concept of Tags to help us accomplish this goal. Tags, like Workflows, are applied to many items in Bento. Contacts, Tasks, Documents, Projects, even Inventory Items can be tagged.

There are 4 levels of tags within Bento Systems:

  1. Team Tags
  2. Project Tags
  3. User Tags
  4. Custom Tags

The first 3 allow you to share any item with any Team, Project or individual User in the system. If you create a Document in your personal Document area, but then decide you want to share it with a specific Team, just add the Team’s tag to the document. Need to share a Sales Team Contact with the Operations Director? Just add their specific User Tag to the contact. The Ops Manager will get notified and the Contact will be book-marked for them in their My Contacts area. Pretty simple.

With these basic concepts of Teams, Workflows and Tags, Bento Systems has the ability to adapt to your current business processes… helping you move to the cloud quicker and with less stress on your team.
